 Refund and Cancellation Policy

BrainTrust Business Training (Pty) Ltd is committed to dealing with cancellations and refund requests fairly and in accordance with South African consumer law.

2. Cooling-off rights for online purchases

Where a learner qualifies for a statutory cooling-off right in relation to an online transaction, the learner may cancel within the applicable statutory period by sending written notice to info@btbt.co.za.

Any statutory right available under the Electronic Communications and Transactions Act, Consumer Protection Act or other applicable law will take precedence over this policy.

3. Cancellation before a course starts

Unless a different condition is clearly disclosed on the relevant course page:

  • cancellation more than 14 calendar days before commencement qualifies for a full refund, less any non-refundable third-party charge already incurred with the learner’s knowledge;

  • cancellation between 7 and 14 calendar days before commencement qualifies for a 75% refund; and

  • cancellation fewer than 7 calendar days before commencement may be subject to a reasonable cancellation charge, taking into account the circumstances and costs already incurred.

Instead of cancelling, a learner may request that the amount paid be transferred to another available intake. Transfers are subject to availability and approval.

4. Cancellation after commencement or access

Once a course has commenced, learning materials have been supplied or substantial access to digital course content has been provided, refund requests will be considered based on:

  • the proportion of the course already delivered or accessed;

  • learning materials and services already supplied;

  • assessment or registration charges already incurred;

  • the reason for cancellation;

  • BrainTrust’s ability to fill the learner’s place; and

  • the learner’s rights under applicable law.

BrainTrust will not impose an unreasonable cancellation charge.

A learner who merely changes their mind after substantially accessing or completing a digital course will not ordinarily qualify for a full refund, except where required by law.

5. Course cancellation by BrainTrust

If BrainTrust cancels a course and cannot provide a reasonable alternative, the learner may choose:

  • a full refund of the amount paid for the cancelled course;

  • transfer to another suitable intake; or

  • a credit to be used for another BrainTrust course.

BrainTrust is not responsible for a postponement or delay caused by an external regulator, assessment body or qualification authority, but will communicate material changes and offer reasonable alternatives where possible.

6. Defective or incorrectly supplied services

If a service is materially different from its description or is not delivered with the standard required by applicable law, the learner must notify BrainTrust as soon as reasonably possible.

BrainTrust will investigate and, where appropriate, repeat the affected service, remedy the issue, provide a credit or issue a full or partial refund.

7. Non-attendance and incomplete courses

Failure to attend, participate, submit assessments or complete a course does not automatically entitle a learner to a refund.

Exceptional circumstances, including serious illness or bereavement, will be considered individually. BrainTrust may request reasonable supporting documentation.

8. Third-party charges

Amounts paid to external assessment bodies, regulators, certification bodies or other third parties may be non-refundable once BrainTrust has committed or paid those amounts. Any such charge will be disclosed where reasonably possible.

9. How to request a refund

Send the following information to info@btbt.co.za:

  • learner’s full name;

  • course name;

  • invoice or order number;

  • date and amount paid;

  • reason for cancellation; and

  • relevant supporting documents.

BrainTrust will acknowledge the request within five business days.

Approved refunds will be made to the original payment method wherever possible. Processing times depend on the learner’s bank and payment provider. Refunds will be processed within the period required by applicable law.
