This policy explains what information we collect, why we collect it, how we use it and the rights available to you.

3. Information we collect
Depending on your relationship with BrainTrust, we may collect:
name, identity number, date of birth and contact information;
residential, postal and employment information;
prior qualifications and educational records;
identification documents and supporting evidence;
course applications, assessments and learner records;
employer or workplace information;
invoices, payment status and transaction references;
correspondence and support enquiries;
marketing preferences;
website usage, device, browser and cookie information; and
information required by an education authority, assessment body or regulator.
Payment-card information is processed by Peach Payments or another authorised payment provider. BrainTrust does not store complete payment-card details.
4. Why we process information
We may process personal information to:
respond to enquiries;
assess applications and register learners;
provide courses, learning material and learner support;
conduct assessments and moderate learner work;
process payments and issue invoices;
maintain academic and administrative records;
submit required information to regulators, qualification authorities, assessment bodies or funders;
issue or facilitate results and certification;
prevent fraud and protect our systems;
comply with legal and regulatory obligations;
improve our website, courses and services; and
send marketing communications where authorised or otherwise permitted by law.
5. Basis for processing
We process personal information where:
you have consented;
it is necessary to conclude or perform a contract;
processing is required by law;
processing protects a legitimate interest; or
BrainTrust has another lawful basis under POPIA.
Where consent is relied upon, you may withdraw it, although this will not affect processing that occurred lawfully before withdrawal.
6. Sharing information
We may share relevant information with:
facilitators, assessors and moderators;
education and training authorities;
the QCTO, Services SETA, PPRA or another applicable authority;
employers, funders or workplace representatives where authorised;
payment processors, including Peach Payments;
website, CRM, form, email, messaging, cloud-storage and learning-platform providers;
accountants, auditors, attorneys and professional advisers;
law-enforcement or regulatory authorities where required; and
other service providers acting under appropriate confidentiality and data-protection obligations.
We do not sell personal information.
7. Cross-border processing
Some technology providers may process or store information outside South Africa. Where this occurs, BrainTrust will take reasonable steps to ensure that the recipient is subject to appropriate data-protection obligations as required by POPIA.
8. Security and retention
We use reasonable technical and organisational safeguards to protect personal information against loss, misuse, unauthorised access, alteration or destruction.
Information is retained only for as long as reasonably required for the purpose for which it was collected, to meet education-record requirements, or to comply with legal, contractual, tax or regulatory obligations.
9. Marketing communications
BrainTrust may send course information and promotional communications where you have consented or where communication is otherwise permitted by law.
You may unsubscribe at any time by:
selecting the unsubscribe option in an email;
replying STOP where that facility is provided;
adjusting your communication preference; or
emailing info@btbt.co.za.
Service and administrative messages relating to an existing enrolment may still be sent where necessary.
10. Cookies
Our website may use cookies and similar technologies to operate the site, remember preferences, understand website usage and measure marketing performance.
You can restrict cookies through your browser settings, although doing so may affect certain website functions.
11. Your rights
Subject to applicable law, you may request:
confirmation that we hold your personal information;
